Step 1: First Contact
Select on open date from the Schedule page. As soon as possible contact the course of your choice (course page for suggestions). Courses tend to fill up quickly so the earlier the better!
Schedule tee times for 32 golfers. Leave time for the last group to finish.
Be sure to get the deadline from the course for a final head count. Sometimes this is a week before the event. Find out what the course's policy is on no shows the day of the event or inclement weather.
The course may need a deposit. The league will reimburse you for any deposits needed. If the course wants a contract, contact Casey for help.
Green Fees: Try to keep the price around $40-$60. Make sure the total price given per player includes sales tax! Ask if the green fee includes range balls.

Step 2: Prizes
You have 3 options for the cost of the prizes: 1) Factor in a few dollars into the total cost for prizes. Any leftover money must be returned to the league. Please contact Casey
mailto:vp@dsgadallas.org 2) The league can provide prizes for you. 3) The league can give you $75 in advance for the prizes. Feel free to spend more if you so desire.
The good stuff! Prizes that have been a hit in the past include hats, golf towels, balls, club/shoe brushes, pocket size golf ball washer-towels, ball retrievers, and gift cards (golf stores,movies, food, etc.) Check with courses to see if they will donate anything: free rounds, golf store vouchers.
FOOD! Everybody loves to get some goodies to munch on during the round. A granola bar, or crackers, and of course chocolate will make you host of the year! Keep in mind the heat and chocolate do not work well together (speaking from experience)!
Step 3: Format
Longest drive and closest to the pin formats are simple and successful. If you want to incorporate a format, chose one which is fun but still allows the players to obtain a score for handicap purposes. There are plenty of formats that allow the player to obtain a score for handicap. Remember most folks just want to play golf and record a score!

Step 4: 2 weeks before your event
Write up a short announcement about your event containing all the above info and contact info for you. Send it to the Communications Director at
webmaster@dsgadallas.org. (cost, format, course, date, tee times)for distribution to the league. Be sure to include the sign up deadline for a final headcount.
Members will use golf herd to sign up for your event.
Step 5: 1 week before your event
The webmaster will help re-arrange players if necessary to fill in groups.
You will need to send the final headcount to the course.
The webmaster will send out the final pairings and tee times to the league a few days before the event.
Get the handicaps for the players. Ask the course for the course handicap index sheet. Have Casey help you out!
Step 6: Game Day!!
Be in place ready to take players money at least on hour before the first tee time!
Allow yourself plenty of time to meet the course personnel and cover the details such as where the carts will be, driving range, tee times running on time. This needs to be done before checking in players!
There will be a board member on hand to help you check in players. Have a list of players with tee times and check off players as they hand you the $$. Try to have some change on hand if needed. Inform the players about the format and direct them to the carts, etc.
If you have closest to the pins or longest drive formats, give someone in the first group these markers. Also designate someone in the last group to pick up the markers!
You should be in the last or next to last group so you can pay the course before you tee off. If the course charges for no shows, make note and give it to Casey or another board member.

Collect the winners' info and give to the webmaster to be posted on the website.
